The National Aerospace Student Society ("NASS", "we", "us" or "our") respects your privacy. This policy explains how we collect and use personal information when you use nassnigeria.org, apply for membership, register for a programme or competition, contact us, or use a member account.
1. Who is responsible for your information
NASS is responsible for the personal information handled through this portal. Questions, requests or concerns about this policy can be sent to nassnigeriaofficial@gmail.com.
2. Information we collect
We collect information you choose to provide, including:
- identity and contact details, such as your name, email address, phone number and institution;
- membership details, including course, level or graduation year, membership category, school information, profile photograph and any supporting verification document submitted for review;
- account information, including password hashes, login activity and account-security records;
- programme, event and competition information, including attendance registrations, team or co-author details, dates of birth where eligibility requires it, Drone Soccer player headshots, abstracts, pitch decks and other submitted materials;
- messages, attachments and replies sent through the contact portal; and
- basic technical information generated when you use the portal, such as security logs and browser/session information needed to operate it safely.
3. Why we use your information
We use personal information only where needed to operate NASS services. This includes reviewing membership applications; issuing and validating member records; administering member accounts; organising events, competitions and judging; responding to enquiries; sending service messages; protecting the portal from misuse; and meeting legal, safety and administrative obligations.
Depending on the situation, our basis for processing may be your consent, steps you ask us to take before providing a service, our legitimate interest in running a safe and accountable association, or a legal obligation. Where we rely on consent, you may withdraw it, although this may mean we cannot continue a related service or application.
4. Membership verification and member records
For Student Member applications, we ask for one current course-registration slip, admission/enrolment letter, student ID or school-fee receipt. For Recent Graduate applications, we ask for one degree certificate, statement of result, NYSC document or official graduation letter. Associate Graduate applicants may provide a current employer ID, short CV/professional profile or employer/industry confirmation; NASS requires suitable evidence before approval. We do not request national ID numbers, bank details, full transcripts, medical records or unrelated family documents for ordinary membership review. Verification documents and photographs are used only to assess eligibility and create a digital member record after approval. Only authorised NASS administrators with a genuine operational need may access them. A membership application is not approval, and declining or requesting a replacement document does not create a public record about you.
Verification documents are removed from the portal when they are no longer needed for review, normally within 14 days of approval or a declined application. When a replacement document is uploaded, the earlier document is replaced immediately. We retain a document longer only where reasonably needed to resolve a request, fraud concern or legal obligation.
Your profile photograph and approved membership details may appear on your personal digital member card. Do not share your card download, account password or verification links with others.
5. Events, competitions and submitted work
When you register for an event or submit a competition entry, we use the information to administer the programme, confirm eligibility, communicate with you, allocate attendance or review submissions, and maintain a record of the entry. Drone Soccer player headshots are used for team identification and operational planning and are visible only to authorised NASS organisers. Competition materials may be shared with authorised organisers, reviewers and judges for evaluation. We do not claim ownership of your original work merely because you submit it, but you grant NASS permission to use the material as reasonably necessary to run, evaluate, promote and report on that programme, subject to the competition rules.
6. Emails, communications and service providers
We may send transactional emails about applications, account activation, password resets, member approval, registrations, document requests and replies to your enquiries. We may use reputable technology providers to host the portal, database, file storage and email delivery. Those providers process information only to provide their services to NASS and may operate from countries outside Nigeria. Where this occurs, we seek appropriate safeguards consistent with applicable data-protection requirements.
7. When we share information
We do not sell personal information. We may share it with authorised NASS officers and administrators, event organisers, judges or reviewers where necessary for a programme, technology providers acting for us, or public authorities where disclosure is required by law or needed to protect rights, safety or the integrity of the portal.
8. Retention and deletion
We keep information only for as long as reasonably necessary for the purpose for which it was collected, including membership administration, programme delivery, record keeping, dispute handling and legal obligations. We may retain limited records after an application, account or programme ends where necessary for security, fraud prevention, audit or compliance. When information is no longer needed, we aim to delete it securely or anonymise it.
9. Your rights and choices
Subject to applicable law, you may ask to access, correct, update, delete, restrict or object to the processing of your information; request a portable copy where available; or withdraw consent. You can update certain account information through the portal. For other requests, email us from the address connected to your account so we can verify your identity. We aim to respond within 30 days where practicable. You may also raise a concern with the Nigeria Data Protection Commission.
10. Security
We use reasonable technical and organisational measures designed to protect information from unauthorised access, loss, alteration or disclosure. No online service can guarantee absolute security. Keep your password confidential, use a unique password, and notify us promptly if you believe your account has been accessed without permission.
11. Children and eligibility
This portal is intended for students, graduates and other persons engaging with NASS. Competition age requirements are stated on the relevant competition page. If a person is below the age at which they can provide valid consent under applicable law, a parent or guardian should assist before personal information is submitted.
12. Changes to this policy
We may update this policy as the portal, NASS programmes or applicable law changes. The current version and its update date will always be published on this page. Material changes may also be communicated through the portal or by email where appropriate.
